Start with the problem, not the tool
Automating WhatsApp is not “adding a bot.” It is deciding which conversations can resolve on their own and which need someone on your team. Before picking software, read your last 100 chats and sort them into three groups:
- Repeated questions: hours, location, prices, availability, payment options.
- Concrete actions: booking an appointment, taking an order, sending a quote.
- Sensitive cases: complaints, negotiations, medical or legal topics, upset customers.
An AI agent can handle the first two groups. The third stays with a person.
Menu chatbot vs. AI agent
A classic chatbot runs on buttons and fixed replies: “press 1 for pricing.” It works for very simple flows but breaks when customers write the way real people write.
An AI agent understands free-form messages (“do you have a table Saturday for 4 around 8?”), checks the information you provide and answers in natural language. Customers don’t feel like they are fighting a menu.
What information the agent needs
Answer quality depends on the information you give it. Put together a simple document with:
- Services or products with current prices (or ranges).
- Hours, service areas and delivery times.
- Policies: deposits, cancellations, warranties, payment methods.
- Your 20 most frequent questions and the answer you would give.
- Which cases must always go to a person.
The agent only answers with what you approve. If something is not in its information, it does not make it up; it hands off to your team.
Human handoff is the most important part
A good agent does not try to solve everything. When it detects a complaint, an out-of-scope question or a customer asking for a person, it alerts your team with a summary so nobody starts from zero.
That handoff is what keeps the human touch: AI handles the repetitive work instantly and your people spend their time where judgment matters.
How to tell if it is selling
Don’t measure “messages answered.” Measure what matters:
- Appointments booked or orders taken by the agent.
- Time to first response (should drop to seconds).
- Conversations handed to a person, and why.
- After-hours inquiries that turned into customers.
Review these weekly during the first month and adjust answers. That is how the agent improves.
Common mistakes
- Automating before prices and policies are written down.
- Not defining when a person steps in.
- Running the business on a personal number instead of WhatsApp Business.
- Launching it and never reviewing it again.

FAQ
Can WhatsApp ban me for using AI?
Using the official WhatsApp Business API with an agent that replies to customers who messaged you is permitted use. What Meta penalizes is spam and unsolicited bulk messaging.
Can I still reply from my phone?
Yes. Your team can see conversations and take over any of them at any time.
